Manage and share your business glosssary

 

An international Telco came to us in 2014. The Telco has business operations in 26 countries and each country's group finance department supplies tens of reports monthly to the central group finance office. These reports have to be written in English and the problem for the company was how to make sure each country was reporting in the same way. They can define terms and set rules and communicate them via email or phone but K.P.I's and their definitions evolve over time and these changes need to be shared. Making sure that all the group finance depatments were aware of each change was time consuming, costly and not without error and stress.

Semanta was already working with the organisation's local network. When they approached us with this problem we were excited to help. SEMANTA comes with a ready-to-run glossary that allows users to load an organisation's existing terms and definitions into it. These can be linked directly to the reports or documents where they're being used. We proposed that the company set up a centralised instance of SEMANTA accessible to all group finance departments. A small team would implement and upload their existing terms and definitions, assign stewardships and link them to the corresponding reports. After that the glossary would offer self-service term defintions that could be easily kept up-to-date, ensuring the much sought after uniformity in reporting.

The Telco was uncertain that our change was realistic. They worried that it'd cost more than the existing non-method and get swamped and delayed. In fact it took the team only 3 months to implement. Now, this central glossary of KPI's and indicators gives all their group finance departments immediate access to the same definiton, no matter their location. It's easy to maintain. Sharing definiton updates is just a matter of clicking a single button and selecting the group you wish to share with. In short, it has once and for all eradicated the stress and wastage of sharing and updating KPI definitions the "old" way.

 

What we learnt

When it comes to managing your business glossary we found that the most succesful and practical strategy is to define and share the language and terms you're currently using and connect them to the context where they`re being used.
